This notice explains how Cherry on Clients collects and uses personal information when you visit cherryonclients.com, send us a brief or meet with us. Work we do for clients under a signed agreement is covered by that agreement’s own data terms.
Who we are
Cherry on Clients is a trading name of Key Pillar AI Ltd, a company registered in England and Wales (company number 16172894), whose registered office is at 25 Edmund Road, Southsea, England, PO4 0LL. We are the controller of the personal information described here. For any question or request about your information, email tanim@keypillar.xyz.
What we collect
- When you send a brief: your name, work email address, company name and website, what you sell and a typical client value, the kind of company you want to reach, buyer roles and target markets, your current challenge and any detail you add, which offer you are interested in (and any package you chose on our pricing page), your privacy acknowledgement and your marketing choice.
- To stop spam and abuse: a scrambled (one-way hashed) version of your IP address, kept for 15 minutes to limit repeated submissions. The IP address itself is not stored with your brief.
- When we arrange and hold the meeting: the times and contact details you give us by email, what you tell us, and our notes from the meeting.
- Routine server logs kept by our hosting provider, such as IP address, browser type and pages requested, used to keep the website running and secure.
Please don’t send passwords, payment details, or information about your own customers that we haven’t asked for.
Why we use it, and our lawful basis
- To review your brief, prepare for and hold the fit meeting, and reply to you. Our legitimate interest in responding to business enquiries, and taking the steps you ask for before any contract.
- To protect the form and the website from spam, misuse and attacks. Our legitimate interest in keeping the service secure.
- To send occasional marketing updates, only if you tick the box. Your consent, which you can withdraw at any time with the unsubscribe link in any update or by emailing us.
- If you become a client, to keep the records the law requires, such as accounting and tax records. Our legal obligations.
Who we share it with
We don’t sell personal information or share it for other companies’ advertising. A few providers process it for us under contract, only so we can run the service:
- Railway, which hosts the website and its database;
- Resend, which sends us a copy of each new brief by email;
- our email provider, for messages between us;
- the video-call service we use if we meet online.
We may also share information with our professional advisers, where the law requires it, or with a buyer if our business is ever sold, under the same protections.
Information sent outside the UK
Some of these providers are based in, or use systems in, other countries, including the United States. Where personal information leaves the UK, we rely on the UK’s adequacy regulations (including the UK Extension to the EU–US Data Privacy Framework where a provider is certified) or on approved safeguards such as the UK International Data Transfer Agreement or Addendum.
How long we keep it
- Briefs and meeting notes that don’t lead to work: deleted within 12 months of our last contact with you.
- If you become a client: for as long as we work together, and up to six years afterwards for legal, tax and accounting purposes.
- Your marketing choice: until you withdraw consent. After that we keep a short note of your email address so we don’t contact you again.
- The scrambled IP address used against spam: 15 minutes.
- Your unfinished brief, saved in your own browser: until you submit it, close the tab or four hours pass.
How we protect it
The website uses encrypted connections, checks and limits what the form accepts, stores only the fields it asks for, and restricts who can see submissions. The contents of your brief are never sent to analytics or used in public examples. No online service can promise zero risk; if a security incident affects your information, we will act promptly and tell you and the Information Commissioner’s Office where the law requires it.
Your rights
You can ask for a copy of your information, and ask us to correct it, delete it, restrict how we use it, or give it to you in a portable format. You can object to how we use it, and you can tell us to stop marketing to you at any time. Email tanim@keypillar.xyz and we will reply within one month.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes
If the way we handle information changes, we will update this notice and the date at the top. Our cookie notice explains what the website stores in your browser.
